Recruiting, headhunting & executive search: the differences between the three services

In short

  • Recruiting selects workers, clerical staff and qualified employees, mainly from a candidate database. No exclusivity required; the fee is due only on hiring.
  • Headhunting actively approaches rare, highly qualified professionals who are already employed (passive candidates). Exclusive and confidential mandate; fee in three instalments.
  • Executive search is the top level: directors, CEOs and other strategic roles. Exclusive mandate, maximum confidentiality; flat fee or defined instalments.

Could a company handle the search for its own staff — even the most qualified — entirely on its own? Potentially yes. Or rather, “sort of”. And let’s see straight away why we are rather sceptical.

Some companies do it, delegating the activity to their HR department. But managing a team is very different from building one, and building it requires specific tools and skills. This centralisation often turns out to be counterproductive.

“If you think a professional is expensive, it’s because you don’t yet know how much an amateur will cost you in the end.” The ability to delegate, and specialisation in every function, are two fundamental rules for a successful company — regardless of its size.

More and more organisations — not only the largest — are realising how crucial this choice is for the productivity and efficiency of the whole company. Sound decisions about who to hire, especially for the most strategic positions, are what guarantee the best result. And making them takes time and tools. This is where the role of the employment agency comes in — operating essentially on three levels, corresponding to three specific services.

What the recruiting service is

Let’s imagine staff selection as a pyramid. At the base are roles such as workers and clerical staff, including non-specialised profiles. None of them should be chosen superficially: everyone’s work fits into a chain that has to function. Recruiting is our base service for the selection of more or less qualified staff. We can take on this assignment even without exclusivity — while remaining fully aware of the value of our database and of the care with which our recruiters create the ideal match between the company’s requirements and the available candidates.

How much does our recruiting service cost? Absolutely nothing if we don’t find what you are looking for. The fee applies only when the candidate is actually hired.

In short, our recruiting service means:

  • we verify the company’s requirements and the requirements for the vacant position;
  • we consult our database;
  • we create the best matches;
  • we can work without exclusivity, with the fee payable only on hiring.

What the headhunting service is

Climbing the pyramid, we reach the headhunting service. Here it is not just a matter of looking for more qualified staff: the whole perspective is reversed. This activity is not limited to consulting a database or reviewing incoming CVs. It is our headhunter who finds the needle in the haystack — the rarity, the excellence in the field. And such a profile is frequently already employed. That is why we speak of passive candidates.

Our intermediation serves to bring out the advantages inherent in change. It is an assignment that requires us to go beyond interpreting a job ad: a good headhunter must be able to identify with both the company’s mission and the candidate’s motivation. We guarantee the company confidentiality in the search and a guarantee of a renewed search should the chosen candidate leave the position in the short term. We take on the assignment on an exclusive basis, with the fee for the headhunting service split into three instalments.

The key points of our headhunting activity:

  • we discuss and analyse the company’s requirements;
  • we activate — exclusively and confidentially — the search for the ideal passive candidate;
  • we develop direct contacts within competitor companies, approaching the best managers.

What the executive search service is

And so we reach the top of the pyramid — a service many competitors do not offer, because it requires high field specialisation and great responsibility.

This is executive search: the search for the top managers who run the company in its highest roles. Clearly this demands the utmost effort in understanding and identifying the company’s mission. Here the client is not delegating “only” the search for important pieces of the organisation: the headhunter must propose figures for strategic roles that directly and decisively affect the performance of the company (directors, CEOs, and so on). Confidentiality in the search is crucial at these levels. We offer the choice between a flat fee or payment in defined instalments.

To summarise:

  • the executive searcher acts to fill vacant positions at the very top of the company;
  • the assignment is handled exclusively and with the utmost confidentiality;
  • the fee can be paid either as a flat amount or in defined instalments.

The differences between recruiting, headhunting and executive search

Recruiting vs headhunting vs executive search
Recruiting Headhunting Executive search
Level of the role Workers, clerical staff, qualified employees Highly qualified specialists and managers Top management: directors, CEOs, strategic roles
Candidates Active candidates from our database and applications Passive candidates, often employed at competitors Passive top managers, approached directly
How we search Database consultation and matching Direct approach and confidential contact Direct approach based on the company’s mission and strategy
Exclusivity Not required Exclusive mandate Exclusive mandate
Confidentiality Standard Guaranteed Maximum
Fee Only on hiring — nothing if no candidate is found Split into three instalments Flat fee or defined instalments
Guarantee — Renewed search if the candidate leaves in the short term Exclusive, confidential mandate

By now the substantial difference between the three services should be clear. We could conclude by saying that, in headhunting and executive search, the great challenge is the ability to bring together a demand and a supply that fit perfectly — but that, without the headhunter’s intervention, would never have met. Frequently asked questions

What is the difference between recruiting, headhunting and executive search?

They are three levels of the same pyramid. Recruiting selects workers, clerical staff and qualified employees, mainly from a candidate database. Headhunting actively approaches rare, highly qualified professionals who are usually already employed (passive candidates). Executive search is the top level: the confidential search for directors, CEOs and other top managers in strategic roles.

Is headhunting the same as executive search?

No. Both approach passive candidates confidentially and on an exclusive mandate, but headhunting targets highly qualified specialists and managers, while executive search is reserved for the top roles that run the company, such as directors and CEOs, and requires the deepest understanding of the company’s mission.

How much does a recruiting service cost?

At we are headhunter, recruiting costs nothing if the right candidate is not found: the fee is due only when the candidate is actually hired, and the assignment can be given without exclusivity.

How are headhunting and executive search fees paid?

Headhunting is taken on an exclusive basis with the fee split into three instalments. For executive search the client can choose between a flat fee and payment in defined instalments.

What is a passive candidate?

A passive candidate is a professional who is already employed and not actively looking for a new job. Headhunters identify and approach them directly, often in competitor companies, and present the advantages of a change.

When should a company use executive search instead of recruiting?

When the role directly and decisively affects company performance, such as a director, general manager or CEO, and the search must stay confidential. Recruiting is suited to operational and clerical roles that can be filled from a wider candidate pool.
